How to host an annual Global Gathering of employees where EVERYONE understands the company's vision.

### Background

When Michelle Hopper and Lucy Percival, from the events team at Lush, decided to organise a global gathering of ALL their employees across multiple times zones in 47 countries, their greatest concern was overcoming the English language barrier. The plan was to host 3 separate meetings combining pre-recorded content and live hosts based in the UK, all speaking English. Given the content included financial, strategic, branding and product information, the objective was to ensure all employees seamlessly understood Lush's vision.

Michelle and Lucy explained:

> The Lush Global Gathering is an opportunity to communicate business updates and re-immerse staff in the culture and components that makes Lush as unique as it is. We needed a single digital events platform that could help us transmit specific messages on new products, packaging, ethics, financials, charities, and strategy and translate them locally and inclusively. Hypersay Events provided us with the tools to ensure pre-recorded videos, streams, and live performances were all translated 'locally' at the click of a button, along with functionality allowing attendees to contribute their own comments and opinions live during the event.

Lush Fresh Handmade Cosmetics is a UK founded cosmetic retailer and manufacturer producing cosmetics for the face, hair, and body using only vegetarian or vegan recipes, with 937 stores located in 47 countries and +13,000 employees. Lush manufacture in 6 countries and has 16 Fresh kitchens around the world making fresh face masks.

Prior to the pandemic, Lush regularly hosted events around the world for their teams. For 2021, given COVID and the advancements made in digital events platforms, Lush wanted to host 3 separate meetings during a single day, using the same content, where all the employees could witness, experience, contribute and comment upon the content with regional colleagues. Previous live gatherings were full of energy and enthusiasm as the audience fed upon each other’s proximity while seated together in an auditorium. Re-creating that energy, especially after the isolation of Covid, was Lush's goal. The first evident obstacle was overcoming the language barrier in trying to communicate digitally to 47 different countries. If everyone could immediately understand the message, then it was just a matter of making the content exciting. Having the content get 'lost in translation' was unacceptable to Lush.

### Objectives: Translations and Timing

Lush Events team met with the Hypersay Events technical team six weeks before the event date. Translations and timing were the two top priorities.

**Timing**: pre-recorded content and live streaming needed to be pre-scheduled, so the event had a smooth TV like look and feel. The agenda times needed to accurately depict when videos, live streams and 'tea breaks' would start and stop during each of the 3 separate sessions held in different time zones on the day of the event.

**Translations**: There was no appetite for any 'lost in translations' moments during the event. This was a strategically important global corporate event covering many announcements, products, services, and insights. A 'purple aubergine bath bomb’ needed to be accurately translated without any collateral damage.

Prior development work for the event

### Timing

Our teams discussed several ways to combine pre-recorded and live content:

Use of our own web Studio, that already allows combining the two seamlessly. Cons: does not allow for scheduling content, too much assistance required for this use case.

Develop a new type of Stage that is entirely scheduled with pre-recorded content. This allowed for careful planning and accepted a range of subtitles alongside video assets.

Rely on RTMP professional streaming from Lush&apos;s premises where the mixing of pre-recorded and live content could be done in a more flexible way. Cons: the technology does not allow the use of subtitles for pre-recorded videos.
In the end, Hypersay Events team developed a technical solution for (2) and during testing, we realised that more flexibility was required with a naturally shifting agenda. But we had to compensate for the lack of subtitles in the pre-recorded content by relying on real-time captioning, translations, and interpretation for the entire event duration.

### Translations
We traditionally rely on AI speech-to-text engines to supply the "source of truth" for all subtitles. This time, however, the accuracy required went beyond the current AI capabilities and, together with Lush, we decided to rely on human captioning.

Hypersay Events developed a portal to support Human Transcriptions of the spoken word during the event. This was for both live and pre-recorded content. The English transcriptions were to both appear on the screen and be routed into the AI translation engines to increase the accuracy of the 13 different language translations. In the six weeks prior to the event, working with Lush's other providers for this event, _121 Captions_ and _Interactio_, Hypersay Events was able to develop, test and integrate portals to support:

- Human Captioning (Transcriptions)
- API feeds of Human Transcriptions to AI translations engines
- Live Audio Translations for Human Interpreters
- Text font and background display options for the visually impaired

These four features covered all the possible scenarios for translating one language (English, in this case) to a multitude of languages with maximum translation accuracy and display. To increase the end-user experience, within the stage, the audience was given a menu of options to self-select their ideal setup: listening in English, reading & listening in English, reading in their native language, reading & listening in the native language. An integrated volume control button allowed users to decrease and/or mute the English language, if necessary. For visually impaired attendees, they could choose the background and size of text font for their screens.

### On the Day

Using three live streamed MC's (masters of ceremony) from the UK for each of the separate events, Lush was able to combine pre-recorded videos and live streams into an inclusive experience for attendees. Both pre-recorded and live streams were conducted with military timed precision and were instantaneously translated into 13 languages for attendees with the functionality mentioned above. The inclusivity of the event was evident in the first hour of the Asian session (7 am UK time) when enthusiastic comments in the Chat started appearing in Korean and Japanese as new products and services were announced in their native languages. In addition, the MCs were able to discuss, applaud, and 'shout out' chat comments during the live streaming segments of the event (all translated into their native language). The MC's created an exciting feedback loop for all attendees as their comments were aired.

During the event, the attendees made full use of the Front Row feature available in Hypersay Events. Front Rows are a 6-person audio-only social bubble that attendees can create during an event. Inside this audio-only bubble the attendees can watch/listen to the event while speaking/sharing/commenting with 5 other people inside their Front Row. Front Rows allow attendees to mingle amongst themselves as they would in an auditorium corridor. The Front Rows were actively used during the Tea Breaks during the event.

### Conclusion

Inclusivity, on a scale far beyond anyone's expectations, was achieved on the day. Each of the 3 separate sessions had its own personality but they all shared a high level of engagement and enthusiasm for what they witnessed streaming from Lush's headquarters. The global gathering became an immersive team meeting where management and staff felt comfortable and included understanding a very clear message transmitted to the attendees in their native language.

Based on the attendee feedback, Lush plans to hold more global gatherings in 2022 with the ambition of having 3 MC's live streaming in three different languages from one stage and having the Chat automatically translated into the native language of the individual attendees.

# Busting 7 Myths about Digital Events

## Myth 1: Digital events will disappear once the pandemic is over

Nobody expects Apple to launch an iPhone in an amphitheater again. There are no amphitheaters with 2 million seats and there is no way an event venue would allow them to showcase all the product details so exquisitely. Apple perfected the art of the virtual launch for real products and they will not abandon it. 

Education companies saw students joining them from halfway around the globe. They will want to keep that. Corporate event organizers realized they don't have to pay ad nauseam: hotel fees, plane tickets, restaurants, etc. Post Covid, Corporates want to keep NOT paying for all these expenses. But traditional in-person events will create a new online dimension. Technologies that made leaps in the last two years – such as affordable streaming, 5G networks, remote captioning and interpreting – will help event organizers increase their reach by orders of magnitude. These are hybrid events and they combine the physical and virtual.
In these events, a fraction of the audience is at the venue, and the rest are enjoying the experience online. After so much time spent getting used to digital events, it is likely that the in-person attendee would ask for some of the good features they enjoyed online: chat, translations, recordings or seeing who else is there with them. And, of course, a freebie from their local coffee chain.

**↪ Verdict:** Busted. Digital events are here to stay, both in their pure online and hybrid forms.

## Myth 2: Digital events are much cheaper to organize than physical / in-person events

The cost structure might be different and there might be no catering services to pay for, but a digital event is still an event. It requires planning, moderation, production, equipment and infrastructure costs.

Digital hosts, real people, hired by the organizers, need to attend to their participants' needs (technical issues, administrative questions), animate them, and guide them through the event platform. A good digital event needs video production quality, similar to a live TV show, so it means that it needs a professional setup. The best in breed digital event organizers hire TV studios and TV crews to produce their events and the results are amazing, but not cheap.

Yes, one can have their keynote speaker stream from their bedroom using a laptop webcam and sitting in the front of an open window with dogs barking in the background. But this is not April 2020; people expect to see proper lighting, crisp focus, makeup, creative sets, crystal clear audio and multiple camera angles. A professional moderator can also add to the ambience.

All these video feeds need to be properly streamed at HD-quality: stamp sized and super-compressed videos. 'Three frames per second' videos that save Zoom money don't cut it anymore. Especially when people paid for the ticket, they expect to watch the event speakers at the same quality as Netflix. That $15 a month Zoom subscription cannot help too much if tens or hundreds of people need to be served. High quality streaming is expensive and it offsets some of the savings of not catering salmon sandwiches and wine for lunch.

There are also platform costs. You can create a simple web page and put your video there, but that's not enough; it would feel too much like watching YouTube. People need to be able to chat, network, speak to each-other, challenge the speakers, feel involved and engaged. This is the main reason for hosting an event. They also want other features such as subtitles and interpreting which adds to the cost. There are good platforms to help organizers with delivering online events. Although the features and the prices vary a lot, the platform is probably still less than a real-world 100+ person coffee break.

**↪ Verdict:** Plausible. Digital events might be cheaper, but not by the orders of magnitude you think.

# Myth 4: Digital events bring accessibility out of the box

There are 360 million deaf people in the world, and around 40 million people are blind, while another 250 million have some form of visual impairment.

While digital events are, of course, accessible for wheelchair users, there are other types of physical disabilities that can impact how an attendee experiences an event, such as having a platform that visitors can operate without a mouse and with one hand.

Technology can help, but you need to know what kind of features are necessary.

**For the visually impaired**

- have a stage or use the interpreter feature to add an audio description channel
- have the translation as both audio and text caption
- have as little text in images as possible and always add descriptions to images

**For the hearing impaired**

- enable automatic (or if budget allows human powered) captions consider adding a sign language interpreter or a lip reader
- setup the event stages so that speaker faces are well lit and ask them to speak one at a time

While disabled people usually have some accessibility software installed, the software itself is not enough. There are steps that an event organizer must take to make their event accessible. Accessibility is not a built-in feature of digital events.

Bonus: accessibility benefits everyone. Not only will hearing impared attendees thank you for the subtitles. Someone watching the event in a noisy cafe or trying to put their newborn to bed will enjoy the accessibility.


**↪ Verdict:** Busted. Accessibility is not usually included.

## Myth 3 - Digital events are less effective

Effectiveness is a broad term. Let's see what it can mean

* Effective for the participant

Organizers' illusion: “When someone is in the room they have to pay attention.” Remember those boring classes in school? Even without smartphones, we found other things to do – from looking outside the window, to drawing cartoon characters and sending secret notes to colleagues. A smartphone is a portal to the infinite entertainment universe. Since mobile internet became available, there is no such thing as a captive audience. Yes, it is easier to be distracted when at home where the kids, the fridge and the e-mail client are so close, but the difference is not that big. The mind can wander everywhere.

The key to keeping people focused is to have good, original, relevant content that is presented well. And pick a platform that controls distractions by offering escape routes that are entertaining but keep the audience in the same universe. An example is a virtual couch where people can chit-chat with others in the same event when the content on the stage is not interesting. So while the online/offline has some influence, the main driver here is the content.

Not having to waste time and money for travel is an important benefit. Events are great excuses for city breaks, yet city breaks are more enjoyable without work related duties.

* Effective for the organizer

Organizers have a much larger addressable market with digital events. Even if the cost of organizing a digital event can be close to an in-person event, the participants' costs and time commitment are much lower, thereby making online events more accessible and affordable. There are also no hard limits on how many people can attend, so never having to refuse someone's money or attention is another great privilege.

* Effective for the sponsors

Sponsors can showcase their message to more people, and they can also engage with them better. Many digital event platforms offer virtual exhibitor spaces where sponsors can chat with the attendees using text or voice, or where people can read, download or watch whatever the sponsor wanted to transmit. With analytics they can measure engagement much better.

* Effective for the planet

Transport produced 27% of the UK’s total emissions in 2019. Every 100 km traveled by car emits 33kg of CO2 and every 1000 km traveled by airplane 1000kg. Anything that avoids putting greenhouse emissions in the atmosphere is priceless, for current and future generations.


**↪ Verdict:** Busted. Digital events are effective

## Myth 5: Some people like in-person events more

“I miss in-person events because I used to get so many freebies!!” Events are good excuses to give samples, merchandise and people love it. But there is no hard requirement that digital events shouldn’t have giveaways, electronic or physical.

In fact, there are online events who send a welcome pack to their attendees by post. Some organizers send coffee vouchers.

Not all events are the same and certain events benefit more than others from being digital or in-person. A product launch is okay to happen online, while an important project kickoff where people do not know each other is a perfect case for a face-to-face event.

Experience shows that people enjoy a digital event that is well organized as much as a physical event. It is the relevant content and the meaningful interaction which are important. If they can talk to their friends and ask questions to speakers and other attendees while also being able to pick the kids from the nursery, people would rather stay online.

Some others like to break the routine and escape to a place where they can have a good meal and see their idols in person. So there is no universal answer, as there are so many variables: event type, personal preferences, weather, distance, mood, how much food is in the fridge.

**↪ Verdict:** Plausible. Some people might prefer in-person events.

## Myth 6: Digital events require less planning

Digital events and physical events share the same DNA. They have (ambitious) goals, (busy) speakers, (fussy) attendees, (late) sessions, (everchanging) schedules, (lost) tickets, (unresponsive) follow-up, (difficult) support, (hard to find) sponsors, (expensive) advertising and PR.

All of these need planning and monitoring, both before and during the event itself. No matter what the delivery medium is, the saying “Fail to prepare, prepare to fail” stands true. The time saved on scheduling coffee breaks and ordering badge printing machines is used for negotiating with the studio and/or configuring the online platform.

**↪ Verdict:** Busted. Digital events require careful planning.

## Myth 7: You need an IT team to run digital events

In-person event organizers do not need builders, plumbers and structural engineers in their teams to bring people into a physical venue. For the same reason, digital event organizers do not need an IT team to run their event. They need to understand what the internet can do, but not necessarily how it does it. The same common sense used to NOT block a fire door in a venue applies when asking the keynote speaker NOT to use their old Nokia 3G to stream themselves into the event.

A lot of “IT” pain comes actually from data processing. For example “I want to have all my attendees subscribed to my event’s newsletter”, or “I want to give free tickets to all my VIP clients in Salesforce”. Fortunately there are simple tools such as Zapier that help with automating your workflows without writing code. Some digital event platforms offer such methods, and define them as “API” or “Integrations” or “Connect to Third Party System”.

# Folk och Kultur - Digit or Die?

### Digit or Die?

In early December 2021, with Omicron blanketing the world, Folk och Kultur were faced with the decision of what to do with their pending annual conference in mid-February 2022. The options available were: 1) hold it in the city of Eskilstuna, Sweden at the Stiga-arena conference centre, 2) host it on-line or 3) cancel the event.

Having previously hosted the event on-line in February 2021 due to Covid restrictions, Folk och Kultur were reluctant to proceed given the prior year`'s feedback about the event being passive with sub-optimal opportunities for social interaction. Yet, the financial risk associated with hosting it at Stiga conference centre and cancelling it at the last minute because of Omicron were too high to accept. This case study highlights the successful compromise Folk och Kultur achieved by using Hypersay Events digital events platform to host their Folk och Kultur 2022 event between February 9—11th.

Folk och Kultur's primary objective was to host a digital event which was both social and interactive for their +1000 attendees over the course of 3 separate days. The massive agenda contained over 100 different entries on 5 different stages, with events ranging in duration of 20 minutes to 1 hour with content covering politics, music, literature, dance, art, film, national minority rights, child rights, and covid related topics in a cultural context. To keep the audience entertained, music performances were also streamed.

With such a large agenda covering three separate days the risk was having the audience get lost in cyberspace and not be able to connect with the content.

For the event to be a success, it was paramount that both pre-recorded and live content 'come alive' for the attendees. For all live content, Folk och Kultur engaged a production team of tv-technicians, tv-producers and livestream producers that together built a television studio in the city of Eskilstuna to ensure perfection in sound, lighting and streaming. People on stage (presenters and MC's) were given access to the chat, thereby connecting the digital audience with presenters and content on stage. PowerPoint presentations were sometimes used but rehearsed for timing and presented in splits to avoid creating a distance between the presenter and the digital audience. The verbal dialogues between panellists and presenters became the main 'content'. The chat acted as an avenue to connect the audience with the content and presenters.

During the event, many live presenters used observations from the chat to enhance the conversation on stage. Live presentations from the studio became two-way dialogues with the digital audiences. The quality of the video production was close to perfection which made the entire event feel like a cinema event. The chat acted as the engagement glue for the digital audience to speak directly to each other and the presenters.

For pre-recorded content, the objective was to have a variety of content appear on stage at pre-scheduled times with a member of the Folk och Kultur team watching the chat for any conversation opportunities. Masking pre-recorded videos as 'live' content is impossible but complementing it with spontaneous background information brought an extra dimension to the videos. For example, in one 30-minute segment, while musicians and singers were performing songs on a cabaret set, the producers of the video were advertising their next upcoming gig and commenting on the beautiful costumes. Attendees' comments about the songs, the musicians, and the set made the whole session feel alive. Many pre-recorded segments were complemented with a host of the event introducing the event and/or taking questions after the video.

In the end, the 3-day event was a success due to Folk och Kultur and their chosen partners carefully planning, preparing, and supporting the event from inception to completion. It was never easy. Complex challenges kept coming but the technical solutions were always found. The surprise outcome was the change in attitude towards hosting an online event of this magnitude. The triangle of organiser/presenter/attendee folded together into a fluid communication channel that kept rotating for 3 days making the event feel very inclusive for everyone.

Prior to the pandemic, Lush regularly hosted events around the world for their teams. For 2021, given COVID and the advancements made in digital events platforms, Lush wanted to host 3 separate meetings during a single day, using the same content, where all the employees could witness, experience, contribute and comment upon the content with regional colleagues. Previous live gatherings were full of energy and enthusiasm as the audience fed upon each other’s proximity while seated together in an auditorium. Re-creating that energy, especially after the isolation of Covid, was Lush's goal. The first evident obstacle was overcoming the language barrier in trying to communicate digitally to 47 different countries. If everyone could immediately understand the message, then it was just a matter of making the content exciting. Having the content get 'lost in translation' was unacceptable to Lush.

### Objectives: Translations and Timing

Lush Events team met with the Hypersay Events technical team six weeks before the event date. Translations and timing were the two top priorities.

- Timing: pre-recorded content and live streaming needed to be pre-scheduled, so the event had a smooth TV like look and feel. The agenda times needed to accurately depict when videos, live streams and 'tea breaks' would start and stop during each of the 3 separate sessions held in different time zones on the day of the event.
- Translations: There was no appetite for any 'lost in translations' moments during the event. This was a strategically important global corporate event covering many announcements, products, services, and insights. A 'purple aubergine bath bomb’ needed to be accurately translated without any collateral damage.

### Prior development work for the event

#### Timing

Our teams discussed several ways to combine pre-recorded and live content:

- Use of our own web Studio, that already allows combining the two seamlessly. Cons: does not allow for scheduling content, too much assistance required for this use case.
- Develop a new type of Stage that is entirely scheduled with pre-recorded content. This allowed for careful planning and accepted a range of subtitles alongside video assets.
- Rely on RTMP professional streaming from Lush&apos;s premises where the mixing of pre-recorded and live content could be done in a more flexible way. Cons: the technology does not allow the use of subtitles for pre-recorded videos.

In the end, Hypersay Events team developed a technical solution for (2) and during testing, we realised that more flexibility was required with a naturally shifting agenda. But we had to compensate for the lack of subtitles in the pre-recorded content by relying on real-time captioning, translations, and interpretation for the entire event duration.

#### Translations

We traditionally rely on AI speech-to-text engines to supply the "source of truth" for all subtitles. This time, however, the accuracy required went beyond the current AI capabilities and, together with Lush, we decided to rely on human captioning.

Hypersay Events developed a portal to support Human Transcriptions of the spoken word during the event. This was for both live and pre-recorded content. The English transcriptions were to both appear on the screen and be routed into the AI translation engines to increase the accuracy of the 13 different language translations. In the six weeks prior to the event, working with Lush's other providers for this event, 121 Captions and Interactio, Hypersay Events was able to develop, test and integrate portals to support:
- Human Captioning (Transcriptions)
- API feeds of Human Transcriptions to AI translations engines
- Live Audio Translations for Human Interpreters
- Text font and background display options for the visually impaired

These four features covered all the possible scenarios for translating one language (English, in this case) to a multitude of languages with maximum translation accuracy and display. To increase the end-user experience, within the stage, the audience was given a menu of options to self-select their ideal setup: listening in English, reading & listening in English, reading in their native language, reading & listening in the native language. An integrated volume control button allowed users to decrease and/or mute the English language, if necessary. For visually impaired attendees, they could choose the background and size of text font for their screens.

#### On the Day

Using three live streamed MC's (masters of ceremony) from the UK for each of the separate events, Lush was able to combine pre-recorded videos and live streams into an inclusive experience for attendees. Both pre-recorded and live streams were conducted with military timed precision and were instantaneously translated into 13 languages for attendees with the functionality mentioned above. The inclusivity of the event was evident in the first hour of the Asian session (7 am UK time) when enthusiastic comments in the Chat started appearing in Korean and Japanese as new products and services were announced in their native languages. In addition, the MCs were able to discuss, applaud, and 'shout out' chat comments during the live streaming segments of the event (all translated into their native language). The MC's created an exciting feedback loop for all attendees as their comments were aired.


During the event, the attendees made full use of the Front Row feature available in Hypersay Events. Front Rows are a 6-person audio-only social bubble that attendees can create during an event. Inside this audio-only bubble the attendees can watch/listen to the event while speaking/sharing/commenting with 5 other people inside their Front Row. Front Rows allow attendees to mingle amongst themselves as they would in an auditorium corridor. The Front Rows were actively used during the Tea Breaks during the event.

### Conclusion
Inclusivity, on a scale far beyond anyone's expectations, was achieved on the day. Each of the 3 separate sessions had its own personality but they all shared a high level of engagement and enthusiasm for what they witnessed streaming from Lush's headquarters. The global gathering became an immersive team meeting where management and staff felt comfortable and included understanding a very clear message transmitted to the attendees in their native language.

Based on the attendee feedback, Lush plans to hold more global gatherings in 2022 with the ambition of having 3 MC's live streaming in three different languages from one stage and having the Chat automatically translated into the native language of the individual attendees.
